New Interfolio templates available

We continue to fold ODoF processes into Interfolio Academic Appointments to make it easier to complete and submit required materials. You can now use Interfolio to submit Workload Relief Requests and UCRHSS grant requests.

Level up with hands-on Interfolio workshops

We’re excited to announce a new addition to our Interfolio training sessions based on your feedback! Some attendees suggested that training would be even more effective if participants had the chance to create cases and work through the process together after the initial session.

Starting next month, we will offer a 30-minute to one-hour live workshop immediately following each online and in-person Interfolio training. These hands-on sessions will allow you to dive into the test environment, create candidates, build cases, set permissions, and practice the key steps with real-time guidance and support.

It’s a great way to reinforce what you’ve learned and get more comfortable navigating Interfolio. We look forward to seeing you there!

Troubleshooting tips: editing a form

Can’t edit a form even though the case is at the correct step?

After a form is completed, only the person who originally submitted the form can edit their submission. When assigning a case manager by the green star, please select someone who will be available to edit the forms throughout the case process. If the form needs to be edited and the original case manager is unavailable, please contact the Interfolio team for assistance at [email protected].
 

Workarounds for known issues

Update from our December 2024 newsletter: We are pleased to report that the Optional Date field error reported earlier has been resolved. Attempting to clear the value from a previously submitted date field no longer defaults to Dec. 31, 1969.

Odeani McBean

With over 12 years’ experience leading and training teams in higher education, most recently at Rutgers University, Odeani McBean joins our team as the new training and support specialist for Interfolio at Princeton. Outside of work, Odeani enjoys sports, meditating, hiking and spending quality time with his two children.

We are also excited to announce that individualized 1:1 training sessions with Odeani are now available through our flexible appointment scheduling system via Calendly. This makes it easier for you to book a session at a time that suits your schedule. Tap into Odeani’s expertise for all your Interfolio needs!

 

Your essential case-creation checklist: SPF 

Before uploading documents or forwarding a case to ODoF Academic Affairs, remember to do your SPF, just like you wouldn’t head out in the sun without sunscreen!

SPF stands for Shell, Permissions, Forward.
First, ensure you’ve created the case shell. Next, check that you have given yourself the appropriate permissions by clicking the green star next to your name, which designates you as the case manager (allowing you to edit forms, upload documents and receive notifications). Finally, verify that you have forwarded the case to the academic unit (yourself) before moving on. Using SPF keeps your case setup on track and helps avoid any missteps when submitting forms or documents to ODoF Academic Affairs.

What's Ahead

Next up – Academic Search

We are preparing to add Interfolio’s Academic Search module, scheduled for release in January 2026. A central hub for all academic hiring processes, Academic Search will simplify the process of posting, submitting and processing academic search activities. Academic Search provides administrators with a consistent and familiar platform that will take the guesswork out of determining which system to use for important recruitment processes. Search will replace AHIRE, Princeton’s custom search application. This transition is aligned with the Office of Information Technology’s strategy of shifting from custom applications to commercial, cloud-based solutions.
From the candidate’s perspective, Academic Search provides a guided application process that includes reminders and graphs displaying the level of completion. Interfolio Academic Search is widely used across higher education, and many candidates will be familiar with it. With this common platform, the process of applying for positions across different institutions will be more streamlined for candidates.

In terms of timing, we have shifted emphasis from Academic Activity Reporting to Academic Search, working concurrently on both, as shown in the schedule below. These adjustments will not change the summer 2026 end date for full implementation of Interfolio’s four modules. Watch for more updates on the transition to Academic Search in future newsletters.
