New templates streamline the process 

In the last few months, we’ve been rolling out new Interfolio Academic Appointments templates designed to simplify the task of completing and submitting required materials. These templates can be used for new appointments, reappointments, promotions, term extensions, salary or job change requests, and research renewals. All the forms you need are contained within each specific workflow and submitted through Interfolio. If you’re not sure whether to use Interfolio, check the ODoF list of current systems to find out.

Charts illustrate new appointments workflows 

We have also created Interfolio template workflow charts that visually represent the new appointment process using Interfolio. For additional information on transitions and resources, visit ODoF Appointment and Promotion Checklists, which have been updated to align with Interfolio templates. In addition, a new PDF form for secondary teaching appointments is now available. Please continue to submit these recommendations via ODoF’s Dropbox.

Interfolio adds features for creating cases 

Interfolio offers additional features that allow academic managers to request external evaluations and create faculty committees, enabling you to share cases seamlessly. We understand that some may feel hesitant to use these new features, especially since they have not been covered in our training sessions yet. To support you, we encourage you to explore these functionalities using the resources listed below and consider how they can enhance your workflow. 


Best Practices

Taking the trouble out of troubleshooting 

As with any new system, common issues crop up that need troubleshooting. Users have reported being unable to view all the required documents or forms in the case details; not receiving email notifications when a case is sent forward or backward; and having difficulty changing the start date or other information in a form completed in an earlier step. We have created step-bystep instructions for solving these problems that can be accessed at the Interfolio Best Practices webpage, where there are also links for video instructions.

Workarounds for known issues 

We have notified Interfolio of system behaviors that are not optimal, and they are working on solutions. Meanwhile, we have created some workarounds if, for instance, Interfolio is removing digital signatures from PDFs that are uploaded or if you are unable to clear an optional date field that defaults to Dec. 31, 1969. Instructions for workarounds are available on the Interfolio website.
